Accident Insurance for sea-going expeditions

Due to the particular work situation on board of seagoing expeditions additional insurances are the intrinsic interest of your employer University of Bremen.

The University of Bremen explicitly recommends any participant of a sea-going expition to contract an accident insurance for business travel.

Although there is no legal obligation the University of Bremen shall reimburse the maximum amount of 8.16 EUR p.m. with the respective travel expenses report.

However, the difference between the reimbursement and the total amount per year has to be covered by the employee.
 

Breakfast expenses

During business travels breakfast usually is included in the hotel invoice (except e.g. USA). However, the German Travel Law has a fixed reimbursement flat rate of 4.80 € per breakfast.

In order to avoid that the real breakfast costs incurred are cut at the flat rate of 4.80 € per breakfast you must take care for the correct invoice address starting with:

Fit Note

Fit note is the informal name for the Statement of Fitness for Work that your doctor will give you when your health affects your ability to work.

If you’re off work sick for three calendar (!) days or less, your employer shall not ask for medical evidence that you’ve been ill.

If you’re off work sick for more than three days, your employer will ask you to provide evidence or proof that you’ve been ill. He will ask for a fit note from your GP (General Practitioner).

In any case, please inform the MARUM Administration and your supervisor at your earliest convenience about the fact that you are ill and the probable duration of sickness.

Once back at work, please inform the MARUM Administration that you are back.
 

German language courses

German language courses (levels ranging from beginner to advanced) are now available to MARUM and MPI employees. Details can be found in the information file. Please fill in the registration form to register.

Guest stay @MARUM

MARUM has wonderful facilities that can and shall be used by visiting scientists staying at MARUM for a while as guests. Using that infrastructure demands bilateral responsibility. In order to clarify rights and duties for both parties any supervisor is asked to fill and get signed the respective bilateral agreement.

Insurances

You are recommended to contract accident insurance and health insurance for foreign countries.

No other insurances will be reimbursed.
 

Language tandems

In a language tandem, two people with different mother tongues meet to improve their knowledge in the language of the other. Since the meetings are alternately held in one of the two languages, both partners should be able to benefit. For more information, please c.f. Language tandems

"Newcomer Portal" for guest scientists

Any guest scientist coming to Bremen (Germany) has to fulfill some administrative obligations, which are not always obvious. Recently, the so-called "Newcomer Portal" was launched, which gives pretty comprehensive information about
- visa and entrance formalities,
- accomodation,
- health,
- live and leisure time in Bremen,
- etc.

Ombudsperson

Trust in the system of science is based and depends on the honesty of all members of the scientific community. However, every now and then the media report on scientific misconduct, and besides such widely publicized affairs, more or less serious breaches of rules occur in the immediate environment of many a scientist.

In case of conflict (good scientific practice as well as inter-personal), the MARUM ombudsperson, Prof. Dr. Peter Richter, is available through e-mail.
 

Overtime

During seagoing expeditions the contractual working time of 39.2 hours per week sometimes is exceeded. Please, inform the MARUM administration if you intend to join an expedition in order to file for overtime. Whether the overtime will be reimbursed in cash or/and in kind/"in time" depends on your status (technician, scientist, functionary, salaried, etc.).

A maximum number of 30h overtime per week can be reimbursed in cash.

A maximum of 234h overtime per 6 months are legally admissible.

In cash/"in time" reimbursement is available upon reporting only. Any document must pass through the MARUM administration.

Per Diems / Per Nights

Per Diem / Per Night refers to a specific amount of money that an organization allows an individual to spend per day, to cover living, accomodation, and traveling expenses in connection with work. It is the allowance given to the employee/worker for completing a task or going on tour away from home.

Personnel selection (research positions)

At the University of Bremen all positions need to be announced, however not the so-called yearly extensions, for example Manuscript-completion.

For reasons of transparency and equality for all personnel selection the procedure will be documented.

Reimbursement of expenses

If, for whatsoever business reasons, you had to pay in cash out of your own pocket you shall be reimbursed. Not all goods are eligible, however.

Any receipt must be attached in original to the form together with the relevantly justification.

Travel

Travel for business reasons usually follows a clear strategy:

(1) two weeks prior to the outbound journey the Request for Permission of a Business Journey must arrive at the Department for Travel Issues (Dezernat 3, Reisekostenstelle);

(2) right after the end of the return journey, please prepare your Travel Expenses Report that must arrive at latest six months after the end of your journey at the Department for Travel Issues (Dezernat 3, Reisekostenstelle) - in any other case the right for reimbursement shall be expired;

(1)(b) Many of you - but not all - will have the right to request advanced payment. To make use of this possibility, please submit the Travel Expenses Advanced Payment Request form together with the Request for Permission of a Business Journey - both in original.


If, however, you travel on MARUM budgets (Research Center or Cluster of Excellence or GLOMAR or INTERCOAST), please submit any of the above mentioned documents directly to our inhouse administration's attention.


In any case, please consider the General Conditions/Laws for Travel Costs/Travel Policies of the University of Bremen, valid at the time of your travel applicatlon. Vacation

The vacation issue ist dealed with in the collective labour agreement (TV-L §26-29 Bremen).

Vacation refers to the calendar year. Regardless the age any employee in a full time position may claim 30 working days vacation p.a.

The claim for vacation shall expire on September 30 of each following calendar year.

If you’re off vacation and sick your claim for vacation shall be reimbursed by the number of days that you’ve been ill. The HRD will ask for a fit note from your GP (General Practitioner).

Vacation for personal occasion can be claimed (upon proof) as follows:
- Accouchement: 1 working day;
- Death of spouse, child, parent: 2 working days;
- 25, 40, 50 years jubilee: 1 working day;
- for civic, ecclesiastic, union, or athletic reasons;
- for volontary activities (advancement of children, adolescents, families).
